This policy explains what personal information Onyx Vans collects, why we collect it, how we use it, and your rights in relation to it. We have written it in plain English — if anything is unclear, please get in touch and we will explain.

Onyx Vans is a specialist manufacturer of adventure campervans, based in West Sussex. We are the data controller for the personal information described in this policy.

2. What information we collect and why
Enquiries and sales
When you contact us about a van build, fill in a form on our website, or speak to us at a show, we collect:

Name and contact details (email address, phone number)

How you plan to use a van and which model interests you

Notes from our conversations and any enquiry correspondence
Lawful basis: contract (where a build is underway) and legitimate interests (for initial enquiries). For marketing emails, we rely on consent — see Section 4 below.
Build customers
When you commission a build, we additionally collect:

Address and billing details

Payment information (processed securely via our payment provider — we do not store card details)

Build specification choices and any special requirements

Records of decisions made during the build process

Photographs or videos of your van during and after build, if agreed
Lawful basis: contract and legal obligation.
Newsletter and marketing emails
If you have opted in to receive emails from us — by ticking a box on our website form or signing up at an event — we hold your name, email address, and any preferences you gave us at sign-up (such as which van model you are interested in).
Lawful basis: consent. You can withdraw consent and unsubscribe at any time using the unsubscribe link in any email we send you.
Website
Our website collects standard technical information when you visit — IP address, browser type, pages visited, and time spent on pages. This is handled through WordPress and associated analytics tools. If we use cookies for analytics, we will ask for your consent before setting them.
Lawful basis: legitimate interests (understanding how people use the site so we can improve it) and consent (for any analytics cookies).
Recruitment
If you apply to work with us, we collect contact details, work history, and any information you include in your application. We handle this information in confidence and do not share it beyond the Onyx team.

3. How long we keep your information
We keep personal information only for as long as there is a genuine reason to hold it:

Enquiry records — up to 3 years from last contact, or until you ask us to delete your details

Build customer records — 7 years from completion of the build (to meet HMRC financial record-keeping requirements)

Newsletter subscribers — until you unsubscribe or ask to be removed

Website analytics — in line with our analytics provider's data retention settings (typically 26 months)

Recruitment applications — 6 months from the end of the process unless you ask us to retain your details for future roles
4. Marketing emails and consent
We only send marketing emails — including our newsletter — to people who have explicitly opted in. We will never add you to a marketing list without your consent, and we will never pass your details to a third party for their marketing purposes.
Consent is collected via an unticked opt-in checkbox on our website forms and event sign-up sheets. We record the date and method of consent. You can withdraw consent at any time by clicking the unsubscribe link in any email we send, or by emailing hello@onyxvans.com.
Our marketing emails are sent via Brevo (formerly Sendinblue). Brevo processes email addresses on our behalf as a data processor and is contractually bound to handle that data in accordance with UK GDPR.
5. Who we share your information with
We do not sell personal data. We share it only where necessary to operate the business:

MAN dealers or suppliers — only where directly relevant to your build and with your knowledge
All third-party processors we use are contractually required to handle data securely and only for the purposes we specify.
6. Your rights
Under UK data protection law, you have the following rights. To exercise any of them, email hello@onyxvans.com. We will respond within one month.

8. Changes to this policy
We will update this policy when our practices change or when the law requires it. The date at the top of this page shows when it was last revised. If we make a significant change, we will let current customers and newsletter subscribers know directly.
